Job Description
As an Executive Coordinator, you will play a crucial role in managing various administrative tasks with accuracy and discretion. Your responsibilities will include handling scheduling, communication, and business prioritization. We are looking for someone who is organized, calm under pressure, and has a genuine interest in media, music, fashion, and pop culture. Flexibility and the ability to adapt quickly are essential in this fast-paced role.

Key Responsibilities:
- Administrative Support: Handle phone calls, manage calendars, schedule travel, and coordinate event logistics. Ensure the smooth operation of general office tasks.
- Special Projects: Assist with research, compile information, and support various special projects as needed.
- Schedule Management: Adapt and manage the daily schedule of the CEO(s), communicating changes effectively to all involved parties.
- Travel Coordination: Organize complex domestic and international travel arrangements for both professional and personal purposes.
- Meeting and Errands: Manage meeting logistics, make reservations, and handle miscellaneous errands.
- Senior Staff Support: Collaborate with other support staff to facilitate senior staff meetings and manage action items.
- Relationship Management: Maintain and update relationship databases.
- Proactive Support: Anticipate the needs of the CEO(s) and ensure a seamless and successful outcome.
- Expense Management: Complete and track expense reports, maintaining an accurate filing system.
- Contract Execution: Assist with executing contracts and legal documents.
- Multi-Executive Support: Provide scheduling and travel assistance to multiple executives, primarily reporting to the CEO.
Minimum Qualifications
- Proven experience in operations, process management, or a related field.
- Strong organizational skills with a keen attention to detail.
- Excellent written and verbal communication skills.
- Problem-solving mindset with a focus on continuous improvement.
- Ability to adapt to varying personalities and leadership styles with ease.
