Key Accounts Coordinator  

About the Role

We are a fast-growing health and wellness company looking for a detail-oriented Key Account Coordinator to support our Modern Trade sales team. As our business with major supermarkets and drugstores expands, we need an operational expert to manage the backend processes.

While our Key Accounts Manager focuses on strategy and negotiations, you will take ownership of the order processing, system administration, and paperwork that keeps our products moving seamlessly onto retail shelves.

What You Will Do

• Order & Logistics Management: Receive and encode Purchase Orders (POs) accurately. Coordinate closely with our logistics team to ensure 100% fulfillment and on-time delivery to retailer distribution centers.
• Inventory Monitoring: Pull weekly sales and inventory reports from retailer portals to flag low stock levels and prevent out-of-stock situations.
• Promo & Listing Administration: Prepare and submit the required vendor forms, barcodes, and paperwork to retailer head offices to ensure new SKUs and promotional discounts are properly encoded.
• Billing & Reconciliation: Work with our finance department to track down Delivery Receipts (DRs), reconcile payment portals, and resolve trade deductions or bad order (BO) returns.

What We Are Looking For

• Specific Retail Experience: Prior experience handling administrative or sales coordination tasks for SM Supermarkets, SM Hypermarkets, or other top-tier Philippine supermarket chains is highly preferred.
• Systems Proficiency: You are highly comfortable using Microsoft Excel (Vlookup, Pivot Tables) and have experience navigating retailer web portals and vendor systems.
• Detail-Obsessed: You have a sharp eye for spotting discrepancies in POs, invoices, and inventory reports.
• Problem Solver: You have the persistence to track down missing signatures or resolve delivery disputes with retailer receiving departments.
