Summary of Work Activities and Responsibilities:
The Testing Assistant provides administrative and operational support in the day-to-day functions of the Testing and Research Office to facilitate the smooth delivery of psychological, guidance, and entrance examinations.
Main Duties and Responsibilities:
I. Testing and Assessment Support
- Prepares and organizes examination materials for student testing, admissions, and faculty evaluations to ensure adequate resources and smooth test delivery
- Prepares test booklets, answer sheets, pencils, and timers prior to test administration sessions
- Coordinates with the testing team in the timely distribution, tracking, and retrieval of guidance and sequential test packets
- Supports the administration and scoring of tests under the direction and guidance of the Director
- Coordinates the logistical requirements for government-mandated exams (e.g., National Career Assessment Examination [NCAE], National Achievement Test [NAT]) and High School Entrance Examinations to comply with institutional and national standards
- Organizes proctor packets and verifies testing materials are accounted for before and after test sessions
- Distributes test materials in cooperation with the testing team
II. Data Processing and Research Support
- Processes research data, surveys, and evaluations to provide accurate quantitative and qualitative summaries for requesting units
- Encodes and tabulates raw quantitative and qualitative data from evaluations and surveys (e.g., Class Moderator Evaluations, Assistant Principal for Student Affairs and Formation [APSAF] activities, Faculty Evaluations, field trips, retreats, guide talks)
- Generates, organizes, and distributes psychological test profiles for parent interpretations and other school-related reviews
- Compiles and files regular and special testing records to maintain complete and organized institutional profiles
III. Administrative and Resource Management Support
- Attends to inquiries and requests from stakeholders and visitors from various communication channels (e.g., face-to-face, online, phone, office email) and coordinates the flow of information internally and with other offices concerned
- Drafts and files official correspondence, letters, memos, and announcements
- Routes official letters, reports, and memos to various departments and maintains the office receiving logbook for incoming files
- Monitors office supplies and testing materials to maintain uninterrupted administrative operations
- Updates inventory logs for student, faculty, and recruitment test booklets
- Tracks office expenses and generates requisitions via the eRequisition system
- Keeps a detailed inventory of all testing materials, tracking usage and ensuring that adequate supplies are available for upcoming assessments
- Safeguards confidential and sensitive files in compliance with the Data Privacy Act and University policies
- Secures the storage, handling, access, and eventual disposal of student psychological test results, research data, and faculty profiles
IV. Performs other duties as may be assigned by the immediate supervisor, or any authorized representative
Minimum Qualifications
Knowledge, Skills, and Abilities:
- Data Management: Ability to consolidate, organize, and maintain data accurately and systematically
- Technological Savvy: Demonstrates proficiency in Google Workspace, Microsoft Excel, and Canva with the ability to quickly learn relevant applications
- Coordination Skills: Ability to proactively coordinate, mediate, and manage actions in relation to others
- Effective Communication Skills: Proficient in communicating effectively both verbally and in writing to convey information clearly and concisely
- Organizational and Administrative Skills: Possesses strong organizational abilities to effectively manage multiple tasks and priorities
- Commitment to Customer Service Excellence: Dedicated commitment to delivering high-quality service and meeting the needs of students and faculty with professionalism and courtesy
- Compliance Management: Knowledge of data protection regulations and standards; ensures adherence to institutional policies, procedures, and applicable laws (e.g., Data Privacy Act)
Education and Experience Requirements:
- Bachelor’s Degree in Psychology, Computer Science, or a related field
- At least two (2) years of relevant work experience
