Summary of Work Activities and Responsibilities:
The Research Data Support Officer II provides technical, organizational, and documentation support in the management of faculty research, creative work, and innovation data for the University. The position gathers, cleans, collates, and verifies data to ensure accuracy across internal and external reporting requirements, and supports the implementation of scholarly work awards and incentives.
Main Duties and Responsibilities
I. Research Data Management and Verification
- Gathers faculty research and creative work data from various databases and sources
- Reviews submissions for completeness and formats data according to the standards set by the Office of the Assistant Vice President for Research, Creative Work, and Innovation
- Cleans, collates, organizes, and categorizes datasets to ensure consistency across reporting cycles
- Prepares updated entries for inclusion in the RCWI Hub, Institutional Repository, and other research management systems
- Coordinates directly with faculty members and department representatives to confirm data accuracy and secure necessary documentation
II. Report Preparation and Accreditation Support
- Assists in compiling reports on research, creative work, and innovation for internal benchmarking and university accreditation
- Supports data reporting for assessments and institutional decision-making by gathering necessary documentation and statistics for reports submitted to external accreditation bodies
III. Award Processing and Recognition Support
- Supports the implementation of the University’s various award programs
- Gathers, pre-screens, verifies, and organizes documentation related to faculty research and creative work for award processing
- Verifies peer review evidence by checking journal websites, verifying editorial practices and requests additional documents from nominees as needed
- Coordinates with concerned faculty members for missing information, requests clarifications, and tracks approval statuses via the designated portals
- Identifies and matches faculty outputs to Professorial Chair awards that require work in specific research areas
- Prepares datasets for endorsement by the Research Data and Awards Head
- Updates award decisions, comments, and approval status in the designated portal
- Drafts individualized award letters based on committee decisions for review and signature
- Documents the list of final awardees in coordination with the Awards and Incentives Officer and coordinates the communication to awardees
- Maintains a secure and accurate filing system for award-related data for audit and reporting
- Maintains a reference file of eligible outputs and previous award data for tracking and reporting
- Arranges logistical needs during award ceremonies/events by ensuring the booking of venues, equipment, award materials, and event scheduling
- Supports the preparation and review of data-based materials for the successful execution of award ceremonies and events (e.g., awardee profiles, slide presentations, certificates, printed materials, and award kits)
- Tracks awardee confirmations and disseminates to all parties logistical details for university-wide recognition events
IV. Performs other work-related tasks as may be required by the immediate supervisor and authorized representative
Minimum Qualifications
Knowledge, Skills, and Abilities:
- Research Data Management: Skilled in collecting, cleaning, collating, organizing, and verifying research, creative work, and innovation data across multiple platforms and formats
- Academic Database Proficiency: Familiar with platforms such as Scopus, SciVal, Digital Commons, and internal systems (e.g., AFAR, RCWI Hub)
- Data Accuracy and Integrity: Demonstrates strong attention to detail in reviewing, formatting, and validating research submissions and award applications
- Analytical and Organizational Skills: Capable of structuring datasets, tracking submissions, and maintaining well-organized filing systems for audit and reporting
- Reporting and Documentation: Able to compile technical data and generate reports for accreditation, awards, and institutional benchmarking
- Academic Process Familiarity: Understands peer review processes, publication structures, and professorial chair criteria within the academic setting
- Communication and Coordination: Able to correspond clearly and diplomatically with faculty, administrators, and awardees
- Event Preparation and Support: Skilled in preparing event materials and coordinating logistical details such as scheduling, kit preparation, and venue arrangements
- Confidentiality and Professionalism: Exercises discretion in handling personal data, publication records, and internal approvals
- Collaboration and Responsiveness: Works effectively within a team and responds promptly to queries, document requests, and verification needs
Education and Experience Requirements:
- Bachelor’s Degree
- With experience in research data processing, academic reporting, or related support roles is required
- Familiarity with academic databases and analytics tools is an advantage
- With experience working in a university or research environment is a plus
