- Manage business and personal calendars for the CEO and senior executives
- Coordinate meetings, interviews, and appointments; anticipate scheduling conflicts and adjust as needed
- Draft, edit, and manage communication on behalf of executives
- Handle travel arrangements, including booking, itinerary preparation, and expense reporting
- Maintain confidential records, organize documents, and track key activities
- Oversee administrative processes such as office supply procurement and support staff coordination
- Perform administrative tasks including overseeing document lifecycle—drafting, version control, and distribution of executive materials—by implementing digital tools and streamlining workflows.
- Monitor communications across channels and prioritize messages appropriately
- Act as a liaison to internal teams, clients, and external stakeholders
- Assist with company events and project coordination
- Uphold confidentiality and professionalism in all aspects of the role
- Coordinate with various departments to support day-to-day business operations and ensure alignment on executive priorities
- Assist in developing and refining internal policies, workflows, and administrative procedures
- Track operational metrics and executive KPIs; prepare summaries and reports for leadership
- Liaise with vendors, partners, and government stakeholders to support business operations
- Provide support in budgeting, procurement, and resource planning for executive and office functions
- Represent the executive office in internal meetings and follow through on assigned action items
Minimum Qualifications
- Minimum of 4 years in an executive or administrative support role
- Strong communication skills—both written and verbal
- Excellent time management and multitasking capabilities
- High level of discretion, reliability, and attention to detail
- Proficiency in Microsoft Office and other productivity tools
