Job Summary :
We are looking for a dedicated and organized Secretary to join our team. The ideal candidate will have excellent communication skills, a proactive attitude, and the ability to manage multiple tasks efficiently. As a Secretary, you will perform administrative and clerical duties to support the organization’s operations.
Key Responsibilities:
- Administrative Support: Provide administrative assistance to executives, managers, or other team members as required.
- Communication Management: Handle and prioritize incoming calls, emails, and other forms of communication. Draft, proofread, and format correspondence such as letters and memos.
- Scheduling & Coordination: Organize meetings, appointments, and events. Maintain and manage calendars, ensuring timely follow-ups and reminders.
- Document Handling: Prepare, organize, and maintain both physical and digital records and files. Ensure proper document filing and confidentiality of sensitive information.
- Travel Arrangements: Arrange travel accommodations, itineraries, and other logistics for staff and executives when needed.
- Office Management: Order office supplies, manage inventory, and ensure a clean and organized workspace.
- Customer Service: Greet visitors and handle inquiries in a professional and courteous manner.
- Reports & Data Entry: Assist with preparing reports, presentations, and other documents as needed.
- Support Projects: Assist with various administrative tasks related to special projects or department activities.
Minimum Qualifications
Qualifications:
- Minimal Diploma or equivalent; additional qualifications in office administration or a related field is a plus.
- Proven experience as a Secretary or in a similar administrative role.
- Excellent organizational skills and attention to detail.
- Strong communication (written and verbal) and interpersonal skills.
- Proficiency in office software (e.g., MS Office, Google Workspace).
- Ability to handle confidential information with discretion.
- Time-management skills and the ability to prioritize tasks effectively.
