Job Description

Summary of Work Activities and Responsibilities:

Under the supervision of the Coordinator of Testing and Research Office (Grade School), the Office Assistant provides assistance to the Testing and Research Office Coordinator, as well as the Headmaster, Assistant Headmaster for Academics and the Coordinator of Child Development Center and the Coordinator of the Office of Admission and Aid.

Main Duties and Responsibilities
I. Assistance to Testing and Research Coordinator

  • Creates systems with the use of excel to facilitate:
    • Profiling and norming of entrance tests results for Kinder, Grade 1 and Transferees.
    • Encoding of surveys/evaluations of all subject areas, programs, and activities for Ateneo Grade School.
    • Profiling and norming of guidance tests for Ateneo Grade School
    • Faculty recruitment of Ateneo Grade School.
    • Sectioning and resectioning of new Kinder and new Grade1 (based on entrance test results) for the use of the Office of the Registrar.
  • Assists the Psychometrician by providing technical assistance for psychological/guidance tests be it onsite/online.
  • Downloads, compiles and emails to Guidance Counselors, the students’ individual on-line test profiles of students.
  • Assists the A-team, Testing and Research Coordinator and Subject Area Coordinators by creating online surveys/evaluation.

II. Reports Generation

  • Encodes and format test results summaries, i.e. test profiles, graphs. etc.
  • Provides reports on statistical data and information based on criteria given on sections and tracking of transferees.
  • Provides hard copies of reports as required by other offices.

III. Support in Test Administration

  • Prepares powerpoint presentation and other visual materials needed in administering tests.
  • Provides administrative support in regular and special testing, and government mandated exams (like NAT) for Ateneo Grade School (e.g. packing of kits, preparing booklets, etc).
  • Provides administrative support for the Kinder, Grade 1 and Transferee entrance exams during admissions season.
  • Prepares test materials (booklets, answer sheets, timers, pencils, tests forms, etc.) needed for Guidance/Psychological tests administration.
  • Arranges testing schedules
  • Scans diagnostic tests, surveys and evaluations of subject areas and programs.
  • Maintains and calibrates the optical scanner.
  • Prints, reproduces, and distributes Guidance/Psychological Tests schedules and memos.
  • Accounts test materials (booklets, answer sheets, pencils, etc) after test administrations.

IV. Support to other Ateneo Grade School Offices

  • Provides technical assistance in designing and lay-outing IDs (for students, CPRs, etc.) certificates, brochures, posters, programs, and souvenirs for specific academic convocations.

V. Updates inventory of test booklets and answer sheets for faculty recruitment testing

VI. Prepares logbook for receiving purposes (test results for interpretation to students)

VII. Routes letters memos, reports and other correspondences to various offices

VIII. Types letters, memos, announcements and basic correspondences.

IX. Performs other duties as assigned from time to time.

X. Others

  • Assists the Testing and Research Coordinator in preparing the budget proposal for the office.

XI. Performs other duties as assigned from time to time

Minimum Qualifications

Knowledge, Skills and Abilities:

  • Advanced Excel, Google Workspace and Canva.
  • Interpretation of data, creating formulas, templates and presentations.
  • Knowledge in Basic statistics needed in creating templates for surveys and evaluations that will yield simple statistical reports.
  • Attention to detail - achieves thoroughness and accuracy when accomplishing a task through concern for all the areas involved.
  • Time Management – manages one’s own time, effectively juggles multiple tasks

Education and Experience Requirements:

  • Bachelor’s Degree preferably in Math or Computer Science
  • With 2-3 years work experience
