This is a Project based/Reliever Staff
Scope:
- Review of disbursement requests submitted through Central Accounting Office Payments System including those with Purchase Orders and update GP-Payable Module
- Prepares billing invoices of concessionaires and affiliates and from time to time, and preparation of Statement of Account requests from various units
- Assists in the review of liquidation reports for cash advances
- Assists in the review of reimbursement requests
- Assists in the review of liquidation reports of projects and coordinate submission of supporting documents (invoices, receipts, statements of accounts, etc.)
- Assists in summarizing and recording of job orders and other non-cash transactions such as electricity, water, PABX calls, etc
Main Duties and Responsibilities:
- Review of CPS with Purchase Orders and update GP-RR, ensuring the following:
- Correctness of invoice number used on the PO/RR vis-à-vis supplier document
- Correctness of account used on the PO/RR vis-à-vis the E-PR of the unit
- Correctness of expanded withholding tax computation
- Validity of payment by matching supporting documents such as Sales Invoice, Delivery Receipt, etc
- Review of CPS requests for meals and reimbursement requests, ensuring the following:
- Sufficiency of fund or balance, assist the unit or department in reconciling the account, as needed
- Approval of Unit Head/Authorized Officer
- Validity of payment by matching supporting documents such as Sales Invoices
- That the disbursements are substantially supported and charged accordingly
- Prepares BIR registered invoices for External Stakeholders
- Concessionaires and Affiliates – Provide monthly Invoices. Monitors completeness, and secures files for references
- Requests from Various Units – reviews completeness of data and purposes billing
Minimum Qualifications
- Bachelor’s degree in Accounting or Business Administration related courses
- At least 2 years of relevant work experience
Skills:
- Accounting: Knowledge of accounting principles and practices, and the analysis and reporting of financial data
- Administrative: Knowledge of administrative and office procedures and systems such as word processing, managing files and records, and workplace terminology
- Customer and Personal Service: Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction and/or referring to the correct person in-charge.
- Technological Savvy: Ability to utilize information technology and computer and internet systems to accomplish tasks; Proficient in MS Office Applications
- Law and Government: Knowledgeable in Government regulations especially those required by the BIR and Data Privacy Act, and other legal codes.
- Knowledgeable and awareness of as internal polices and procedures implemented by the University major in Financial process and approval requirements of different units within the University.
- Time Management: Managing one's own time and the time of other collaborators
- Service Orientation: Actively looking for ways to help people both internal and external
- Social Perceptiveness: Being aware of others' reactions and understanding why they react as they do
