Admin and Project Support Specialist
Are you organized, detail-oriented, and eager to play a key role in keeping projects on track? We’re looking for an Admin and Project Support Specialist who can bridge communication, support project workflows, and handle essential administrative tasks.
In this role, you’ll contribute to smooth project execution through accurate documentation, tracking and coordination, while also providing general administrative and HR support when needed.
This position is ideal for someone who thrives on structure, values precision, and enjoys supporting both people and processes.
What You’ll Do?
Track ongoing projects, ensure milestones and deliverables, update progress reports, and maintain project documentation.
Develop and refine updating Work Breakdown Structures (WBS), timelines, and process diagrams using project management tools.
Coordinate with cross-functional teams to gather updates, consolidate feedback, resolve bottlenecks, and ensure deadlines are met.
Support project planning and review sessions, preparing schedules, reports, and presentation materials.
Support HR-related tasks such as onboarding documentation, employee coordination, and file management.
Draft and organize policies, procedures, and workflow documentation as needed.
Facilitate clear communication across teams by applying strong business communication skills in both documentation and discussions.
Minimum Qualifications
Attentive listener and effective communicator – You ask the right questions and absorb feedback fast. You have the ability to translate complex ideas into clear messages.
Analytical Thinker – You ask "Why" and "What's next?" then connect the dots that others usually miss and turn data into defensible decisions.
Problem Solver – You can break down problems with clarity and precision by looking at the bigger picture. You have the capability to make smart decisions based on facts and not based on gut feelings.
Team Collaborator – You share ideas, listen well, and know when to lead and when to support because you value the time of others.
Quick Adaptability – You stay updated and agile in the face of regulatory or operational changes.
Excellent Reading Comprehension – You rapidly absorb training, regulatory updates and internal communications while keeping ahead of change.
Minimum of one (1) year job experience preferably in the related field.
Excellent written and verbal communication skills in English
Experience in using Microsoft Office, Microsoft Outlook, Microsoft Teams, and Microsoft SharePoint.
Experience in using project management tools (Trello, Jira, Draw io, Figma or similar)
Practical experience in project coordination or support, with a good grasp of project management concepts (e.g., WBS, timelines, risk tracking, documentation).
Experience in writing policies and procedures is valued, though not required.
It is an advantage to have knowledge or experience in the Electronic Money Issuers (EMIs) and/or Virtual Asset Service Providers (VASP) industry or similar regulatory bodies.
