Summary of Work Activities and Responsibilities:
The Circulation Assistant III provides clerical and operational support to the Circulation Section of the Rizal Library. The position primarily assists by collecting books, shelving library materials, and performing minor book repairs.
Main Duties and Responsibilities:
I. Maintenance and Preservation of Resources
- Retrieves library materials from designated collection chutes and tables across the library, ensuring prompt return to their proper locations for continued accessibility and organization
- Shelves library materials in their proper location in accordance to the Rizal Library's classification scheme
- Conducts minor repairs on slightly damaged library materials, such as simple book repairs and mending, and refers severely damaged materials to external partners for repair and rebinding
- Assists in the inventory process for Circulation materials by scanning barcodes, checking item records, locating missing or mis-shelved materials, and updating inventory status accurately
II. Section Management Support
- Provides assistance to library users by addressing basic inquiries and offering clear directions within the library to enhance their experience and ease of access to resources
- Prepares data and drafts reports required by the Section Head
- Records, collates, and maintains statistical data on the assigned area of responsibility (e.g. daily user statistics, book search requests, number of books returned to shelves)
- Tracks visits to Circulation Section and usage of resources by library users
- Monitors library resources and reports to the Section Head any possible safety, security and maintenance concerns
- Collects, and files official receipts issued from payments of library fines and fees from the Cashiers Office
- Attends to search requests of library materials
- Picks up and delivers books for Inter and Intra Library Loan (ILL)
III. Performs other duties as may be assigned by the immediate supervisor, or any authorized representative
Minimum Qualifications
Knowledge, Skills, and Abilities:
- Knowledge of Library Operations and Standards: Demonstrates basic knowledge of library operations and adherence to industry standards; Understanding on basic book repair and restoration process
- Clerical Support Skills: Demonstrated knowledge of basic clerical procedures such as filing, encoding, etc.
- Technological Savvy: Skilled in using various technological platforms and software applications, with the ability to quickly adapt to new systems and tools as needed
- Attention to Detail and Organizational Skills: Excellent attention to detail and strong organizational abilities to ensure thoroughness, accuracy, and streamlined workflows
- Communication Skills: Effective oral and written communication skills, capable of conveying information clearly and concisely to colleagues, supervisors, and other stakeholders
- Interpersonal Relations Skills: Strong ability to build and maintain positive relationships with internal and external stakeholders, contributing to a collaborative work environment
- Customer Service Excellence: Committed to delivering exceptional customer service by addressing the needs of library users professionally, courteously, and efficiently
Education and Experience Requirements:
- Graduate of any Bachelor's Degree
- At least one (1) year of relevant experience
