The Advancement Officer III manages donor relationships and implements
fundraising activities in support of the University’s advancement goals, with primary
responsibility for the Annual Giving Program and the broad base of participation
donors. The position plans and executes programmatic and scalable fundraising
strategies, cultivates and retains annual giving donors, monitors fundraising
performance, and coordinates with internal teams to ensure effective donor
engagement, stewardship, and compliance that contribute meaningfully to the
University’s overall resource mobilization and development goals.
Main Duties and Responsibilities
I. Donor Relationship Management
Cultivates and maintains productive relationships with assigned donor
segments within the Annual Giving Program
- Plans and implements donor engagement, cultivation, and renewal activities to encourage repeat giving and long-term donor loyalty
- Designs and executes standardized donor touchpoints and renewal strategies appropriate for participation-based donors
Coordinates with the Donor Relations and Donations Management Officer to ensure timely and appropriate donor acknowledgement, recognition and reporting
- Ensures that all donor interactions and communications follow established University policies, standards, and advancement protocols
II. Fundraising Program Implementation
Manages the planning, implementation, monitoring, and evaluation of the
Annual Giving Program in accordance with the University’s advancement
strategies
- Prepares annual program calendars, targets, and work plans for review by the University Development Head
Coordinates the execution of multi-channel appeals and campaigns
- Oversees the timely rollout of annual giving campaigns and monitors campaign schedules and deliverables
Monitors and evaluates the performance of the Annual Giving Program
against approved targets and benchmarks
- Monitors donor participation growth and year-on-year retention as primary indicators of annual giving program effectiveness
Collaborates with other members of the Development Team in the
implementation of integrated fundraising initiatives
- Participates in joint planning meetings and cross- functional campaign development
- Coordinates donor engagement activities and events in support of annual giving goals
Coordinates with University units and external partners in the
implementation of annual giving activities
- Assists in organizing donor engagement activities and campaign-related events as needed
III. Donor Development and Retention
Identifies and categorizes annual giving donors based on giving history,
interests and capacity
- Designs targeted cultivation, renewal and reactivation approaches for the assigned donor segment
Coordinates with the Advancement Officer for Major Gifts to identify
and evaluate potential annual giving donors to become Major Gifts
donors
- Provides donor profiles, giving history, and engagement data to support prospect qualification and portfolio assignment
Contributes to building and sustaining the University’s donor pipelines by strengthening donor participation and retention at the early and mid-
stages of the donor lifecycle
IV. Data Management Support
Ensures the accurate recording, validation, and monitoring of donor
interactions and annual gifts in coordination with the Gift Processing and Documentation Assistant and Database Team
Maintains updated donor records, fund balances, and campaign
performance data
- Supports data clean-up, updating, and acquisition initiatives to strengthen donor records and reporting

• Donor Relationship Management: Ability to cultivate, engage, solicit, and
steward donors in accordance with University advancement practices
• Fundraising Program Management: Ability to plan, implement, monitor,
and evaluate fundraising programs and campaigns
• Donor Segmentation and Retention Strategy: Ability to design and
implement segmentation, renewal, and retention strategies to sustain a
broad and active annual donor base
• Data Management and Analysis: Ability to maintain accurate donor
records, analyze giving data, and prepare performance reports
• Communication Skills: Excellent oral and written communication skills,
including the preparation of donor correspondence, reports, and campaign
materials
• Coordination Skills: Strong ability to organize and coordinate with
multiple internal teams and external partners
• Interpersonal Skills: Ability to build rapport and maintain productive
relationships with donors, volunteers, and University partners
• Organization Skills: Highly organized, detail-oriented, and able to manage
multiple projects and deadlines effectively
