Duties &amp; Responsibilities

The Admin Assistant keeps the Cebu office running and owns the physical, recurring, and administrative work that currently has no owner. The first 90 days are dominated by clearing the statutory sales invoice backlog. After that, the role settles into office administration, petty cash, filing, and recurring manual data work.

Statutory receipt printing and filing (core, and the dominant workload for the first 90 days)

<ul>
	<li>Operate the dot matrix printers to print the backlog of BIR pre-numbered sales invoices on continuous form stock, and keep current-month issuance printed on an ongoing basis.</li>
	<li>Burst, separate, and sort printed forms into correct sequence.</li>
	<li>File all printed sales invoices in the physical filing system at the Cebu office, in sequence and retrievable on request.</li>
	<li>Track spoiled, misprinted, and voided forms accurately, and account for every serial number in the series. No form is discarded without being logged.</li>
	<li>Monitor form stock levels and flag reorder needs ahead of running out.</li>
	<li>Maintain a daily print log covering serial range printed, count, spoiled forms, and any issues encountered.</li>

Office administration

<ul>
	<li>Hold and reconcile the office petty cash float for office-level expenses (cleaning, pantry, water, general maintenance, supplies), and submit liquidation with complete receipts on the agreed cadence.</li>
	<li>Keep the office stocked. Supplies, pantry, and cleaning materials should never run out.</li>
	<li>Book and supervise cleaners, and own general office cleanliness and orderliness.</li>
	<li>Maintain the general, non-financial physical and digital filing system for the Cebu office.</li>
	<li>Receive and route deliveries, couriers, and physical documents.</li>
</ul>

Recurring manual data work

<ul>
	<li>Perform the daily marketplace data pull. Export the required files from Shopee, Lazada, and TikTok Shop seller centers, upload them to the designated Drive folders using the exact naming convention, and confirm the pipeline ingested them successfully.</li>
	<li>Perform other recurring manual data-entry and file-handling tasks as assigned.</li>
	<li>Escalate immediately when an export fails, a file looks wrong, or ingestion does not confirm. Do not silently skip a day.</li>
</ul>

Founder and team support

<ul>
	<li>Handle ad-hoc administrative tasks requested by the founder, and report back on completion.</li>
	<li>Support the accounting, live selling, and Cebu operations staff with administrative tasks, with the founder's approval.</li>

Conduct daily live selling sessions across platforms (Meta pages, Shopee Live, TikTok Shop)

Present products engagingly — demonstrate usage, explain benefits, answer viewer questions in real-time

Drive sales conversions during live sessions through product knowledge and audience rapport

Follow product messaging and promotional guidelines provided by the marketing team

Coordinate with marketing on daily featured products, bundles, promotions, and talking points

Maintain the live selling room — product displays, lighting, camera setup

Track and report daily live selling metrics (viewers, peak concurrent, engagement, orders generated)

Participate in content creation outside of live sessions as needed (short-form video, product demos)

Follow SOPs provided by the Lead Live Seller

Training &amp; Nesting Period

● 5 days of training (product knowledge, platform tools, messaging guidelines, camera/presentation basics)

● Must pass the final assessment for product knowledge training with a score of at least 80%.

● 10 days of nesting — going live under the supervision of the Lead Live Seller

● Performance during nesting to be assessed before full independent scheduling begins

Bonus Structure

Commission up to 30% , tied to live selling performance (orders generated, GMV contribution). Exact structure TBD — likely tiered based on daily/weekly sales targets.

Probationary KPIs

KPI 1: Live Streaming Hours per Week

- Target:

- Part-Time: 100% Delivery on Committed Scheduled Days/Hours

- Includes schedule adherence — sessions must start at published times

- Remaining on-site hours are for prep, content creation, product study, and reporting

KPI 2: Engagement Rate

- Formula: (Comments + Reactions + Product Inquiries) / Unique Viewers × 100

- Target: ≥5% (may increase as we gather data and establish baselines)

- Measures host quality — the ability to create real interaction, not just broadcast

KPI 3: Orders per Live Hour (to be added after baseline period)

- Will be introduced once the sales mechanism is defined (dedicated purchase page,

Messenger agents closing from live, direct platform checkout, or a combination)

- Candidate should understand from Day 1 that a commercial KPI will be layered in — live selling is ultimately a sales role

● Answer customer messages and inquiries across Lazada, Shopee, and TikTok Shop once active. 
● Handle customer queries regarding:

○ Order status and updates

○ Other marketplace-related concerns

● Provide appropriate solutions to customer concerns while following company policies and marketplace guidelines.

● Make appropriate decisions and take action on customer and operational concerns within the assigned authority, rather than escalating every issue unnecessarily.

● Escalate only matters that require management approval or fall outside established guidelines.

Order Processing &amp; Fulfillment

● Prepare daily pick-and-pack lists based on confirmed orders.

● Print waybills and ensure they are correctly matched to the corresponding orders.

● Process waybills and orders across marketplace and logistics partners, including:

○ J&amp;T

○ GOGO

○ LBC

○ Ninja Van

○ Lalamove

● Handle Lalamove orders, including coordinating pickup, monitoring delivery status, and addressing delivery-related concerns.

● Sort orders by platform (Lazada, Shopee, TikTok Shop) and by product for efficient ulfillment.

● Coordinate with the packing and warehouse teams to ensure orders are prepared and dispatched on time.

● Monitor order statuses and proactively address delays, failed deliveries, or other fulfillment issues.

Marketplace Claims &amp; Disputes

● File and manage disputes/claims for eligible marketplace orders.

● Submit the required documentation, evidence, and information needed to support claims.

● Monitor the status of filed disputes and follow up until resolution.

● Ensure claims are filed within the required marketplace timelines.

● Maintain proper records of disputes, outcomes, and any required follow-up actions.

Returns &amp; Refunds

● Handle customer inquiries and concerns regarding returns and refunds.

● Review the circumstances of return/refund requests and determine the appropriate action based on company policy and marketplace rules.

● Coordinate with the warehouse or fulfillment team when returned products need to be checked or validated.

● Process or escalate refund and return cases when necessary.

● Monitor unresolved return and refund cases until completion.

Inventory &amp; Marketplace Management

● Assist in updating stock availability and product listings when needed.

● Monitor marketplace inventory and flag potential stock discrepancies.

● Maintain accurate and organized order and inventory records.

● Assist in identifying recurring marketplace issues that may affect fulfillment or customer experience.

Reporting &amp; Documentation

● Assist in generating simple reports related to:
