Accounting Specialist

Location: Silver City, Pasig (Hybrid)

 

About the Role:

The Accounting Specialist plays a key role in ensuring accurate, timely, and compliant financial operations across Accounts Payable (AP), Accounts Receivable (AR), General Ledger (GL), month-end close activities, and audit support. This role requires strong analytical skills, excellent attention to detail, and the ability to communicate effectively with internal stakeholders and external partners, including vendors and North America–based clients.

 
Working onsite in Silver City, Pasig City and on night shift, the Accounting Specialist supports day-to-day accounting operations and contributes to process improvements that strengthen overall financial accuracy and efficiency.

 

Key Responsibilities:

	<li>Ensure expenses are coded to the correct GL account and budget</li>
	<li>Communicate with vendors regarding payments and payable inquiries</li>
	<li>Reconcile vendor statements to ensure completeness and accuracy of records</li>
	<li>Coordinate with the Director of Finance to ensure accruals are complete for month-end close</li>
	<li>Send out Credit Card Expense Reports; review GL coding, budget, and department accuracy; reconcile monthly</li>
	<li>Review expenses against budget and flag anything that looks off</li>

General Ledger/ Month-End Close/ Audit Readiness

	<li>Identify appropriate accounts for transactions</li>
	<li>Investigate and correct variances to ensure accurate reporting</li>
	<li>Gather backup and support for external audits</li>

	<li>Work with external auditors by gathering required documents</li>

The General Accounting Analyst is responsible for the day-to-day support in operation and maintenance of the organization’s financial records (general ledger). S/He is accountable for creating journal entries and assembling supporting documentation, as well as for tracking the contents of accounts. S/He primarily provides support for Accounts Payable, Purchasing, Accounts Receivable, and other responsibilities.

Summary

	<li>Prepare monthly journal entries and adjustments, including supporting documentation and appropriate descriptions</li>
	<li>Ensure the balance sheet accounts are properly reconciled to supporting documentation</li>
	<li>Ensure on-time filing and submission of BIR Tax payments which includes withholding taxes, VAT and income taxes</li>

General Accounting Analyst

A. General Accounting Functions 

- Perform routine accounting tasks under the supervision of the Accounting Supervisor, including the preparation and posting of standard accounting entries. 
- Assist in maintaining accurate and complete accounting records and schedules. 
- Support periodic and month-end closing activities as assigned.

B. Accounts Payable and Accounts Receivable Support 
- Assist in the processing of accounts payable transactions, including verification of supporting documents and completeness of records. 
- Support accounts receivable monitoring, including preparation of aging schedules and basic reconciliation of customer accounts. 
- Coordinate with internal departments regarding billing, collection, and payment-related matters, as endorsed by the Accounting Supervisor.

C. Reconciliation and Account Monitoring 
- Assist in the reconciliation of bank statements, subsidiary ledgers, and selected general ledger accounts under close supervision. 
- Identify discrepancies or variances and elevate findings to the Accounting Supervisor for review and resolution. 
- Prepare reconciliation worksheets and supporting schedules for supervisory validation.

D. Reporting and Documentation 
- Prepare basic accounting reports, summaries, and schedules using Microsoft Excel and PowerPoint, subject to review by the Accounting Supervisor. 
- Ensure proper filing, organization, and retention of financial documents in accordance 
- Provide accounting documentation and schedules required for internal review, audit, or compliance purposes.

E. Administrative and Compliance Support 
- Perform other accounting and finance-related tasks as may be assigned by the Accounting Supervisor. 
- Adhere to internal controls, finance policies, and confidentiality requirements at all times. 
- Support process documentation and improvement initiatives within the Finance and Accounting Department.
