	<li>Contributes to efforts in communicating and promoting to various stakeholders vital and up-to-date information, reports, and initiatives pertaining to University strategies, rankings, and accreditations</li>
	<li>Serves as a repository of all communication materials of the Office of the Associate Dean for Administrative and Student Services</li>
	<li>Collates data and prepares reports pertaining to staff formation, health &amp; wellness, etc. and submits to the Assistant to the Associate Dean for Administrative and Student Services for review and endorsement</li>
	<li>Coordinates with the Office of Mission and Identity to update and/or submit reports on MI-related programs</li>
	<li>Coordinates with the University Physician’s Office and/or Higher Education Clinic on protocols related to employees and students’ health and wellness</li>

II. Financial Management Support

<ul>
	<li>Keeps financial records and expense accounts of the Office to ensure that all financial documents are properly accounted for</li>
	<li>Works closely with the Assistant to the Associate Dean in preparing the budget proposal of the Graduate School of Business, and provides information in drafting budget reports (e.g. supplies and expenses, new equipment, minor and major improvement, etc.)</li>
	<li>Prepares and processes all financial-related documents (e.g. order for checks, reimbursements, liquidation reports, petty cash vouchers, etc.) for approval by the ADASS and submission to the Central Accounting Office</li>
	<li>Assists in monitoring collection activities of Graduate School of Business</li>
</ul>

III. Records Management Support

<ul>
	<li>Updates office database and maintains files and records of correspondences, documents, and other materials for the Office in a systematic manner and consistent with the need to protect confidentiality and data privacy</li>
	<li>Maintains pertinent files and records and facilitates disposal of old files and records according to University guidelines</li>
</ul>

IV. Human Resource Matters Support

<ul>
	<li>Facilitates the routing and submission of HR-related documents to Office of Human Resource Management and Organization Development (e.g. hiring justifications, Terms of References, etc.) and conducts follows throughs as needed</li>
	<li>Provides support in filling in of vacancies in the School through:</li>
	<li>Provides administrative support in the implementation of the developmental plans for employees under the Graduate School of Business</li>
</ul>

V. Performs other office-related tasks as may be assigned by immediate supervisor or authorized representative.

Administrative Assistant VI | Office of the Associate Dean for Administrative and Student Services

Summary of Work Activities and Responsibilities:

Under the supervision of the Assistant to the VP for DITS / IT Governance Head, the Administrative Assistant shall perform clerical and office management tasks in accordance with the OVP DITS mandate and guidelines and University policies and processes such as internal and external communications, finance management, logistical administration and assistance in personnel management.

Main Duties and Responsibilities

Communication 

The Administrative Assistant shall be the main point person for internal and external communications of the office, specifically:

<ul>
	<li>As the first point of contact for the OVP DITS, handles inquiries received through the various communication channels including the dedicated local / mobile numbers and DITS office email.</li>
	<li>As the official custodian of the OVP DITS email account, sends out BlueBoard announcements and other official communications, maintains the filing system of the assigned Google Drive</li>
	<li>Prepares drafts of correspondence</li>
	<li>Disseminates information such as internal memos, office guidelines and event reminders</li>
	<li>Maintains the DITS Cluster page in the University Website</li>
</ul>

Finance Management Support

Assists in the processing, monitoring and reporting of office-related budget and expenses:

<ul>
	<li>Prepares year-end utilization report as reference for budget planning</li>
	<li>Initiates the payment processing by preparing Purchase Requisition (PR) or Request for Payment for supplies, communication, repairs and maintenance, CapEx items, miscellaneous expenses, staff development and others.</li>
	<li>Regularly updates the expense trackers</li>
	<li>Handles the petty cash of the office from request, routing for approval, utilization and liquidation</li>
	<li>Prepares other financial reports and summaries, as needed</li>
</ul>

Office Operations and Clerical Support

As overall coordinator for office operations, provides administrative support for office management functions, specifically:

<ul>
	<li>Prepares logistical requirements for meetings, staff development and other activities of the office and cluster</li>
	<li>Manages office supplies and equipment by maintaining the inventory, filing of requests for office equipment for repair or replacement, initiates job orders for tasks which requires the assistance of CFMO</li>
	<li>Assists in personnel management such as attendance monitoring, tracking of staff development activities and training</li>
	<li>Receives and routes documents for approval and signature of authorized personnel</li>
	<li>Manages the DITS Office and Cluster calendar</li>
	<li>Coordinates with other departments as required</li>
</ul>

Other tasks

<ul>
	<li>May be assigned to coordinate special projects</li>
	<li>May represent the office or cluster in committees for University-wide activities.</li>
</ul>

Performs any other duties as may be required by the position in accordance with the instructions and guidelines of the supervisor and authorized personnel.

Administrative Assistant for Digital Information and Technology Services Office

<ul>
	<li style="list-style-type: none;">Drafts and finalizes contracts/letters/board resolutions/certification/corporate undertaking and other documents.</li>
	<li>Researches/prepares legal opinions/memoranda on various legal issues that may affect the company.</li>
	<li>Gives advice to other departments on legal issues &amp; prepares and/or reviews position papers prepared by other departments.</li>

	<li>Supervises the filing and organization of documents of the Division.</li>
	<li>Coordinates with other employees for the submission of supporting documents for legal opinions/position papers.</li>
