The Strategy and Investments Operations Lead provides high-level administrative support to both the Chief Strategy Officer and the Chief Investments Officer, while also managing the operational needs of the Strategy and Investments team. This role ensures seamless daily operations, effective calendar and communication management, and contributes to strategic planning, project tracking, and key initiative execution. It is ideal for someone who thrives at the intersection of operations, strategy, and coordination.
What You'll Do
Strategic & Project Support
- Support the coordination and tracking of key strategic initiatives and investment projects.
- Maintain dashboards and trackers to monitor initiative progress, key milestones, and follow-through on deliverables.
- Assist in preparing materials and insights for executive strategy reviews, board updates, and investment committee discussions.
- Conduct light research and synthesis to support strategy development or project scoping.
- Work closely with project sponsors and team leads to ensure alignment on timelines, next steps, and stakeholder engagement.
Executive Support
- Manage the Chief Strategy Officer’s and the Chief Investments Officer’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Handle confidential information with utmost discretion.
Team Administrative Support
- Act as the key administrative liaison for the Strategy and Investments team.
- Coordinate team meetings, off-sites, and events, ensuring logistical and operational efficiency.
- Maintain and organize shared documents, files, and databases for the team (including deal bibles, both in hard copies stored in locked cabinets or soft copies stored in shared drives)
- Process expense reports, procurement requests, and administrative paperwork.
Office Management
- Ensure the smooth operation of the office environment, including supply management, facility maintenance coordination, and vendor management.
- Support the onboarding (and offboarding) of team members, including workspace setup and IT coordination.
- Act as the point of contact for external stakeholders, managing logistics for client and partner visits.
Kualifikasi Minimum
What We're Looking For
- Bachelor’s degree in Business Administration, Management, or a related field. A background or coursework in Strategy, Finance, or Project Management is a plus.
- 5+ years of experience as an Executive Assistant, Team Coordinator, or Office Manager in a corporate environment.
- Demonstrated experience supporting strategic planning processes, tracking business initiatives, or working with senior leadership teams.
- Exposure to project management principles and tools (e.g., Gantt charts, project trackers, milestone monitoring). Certification in project management (e.g., PMP, CAPM, or Agile/Scrum) is a plus but not required.
- Ability to synthesize meeting outcomes, align stakeholders, and follow through on action points with minimal supervision.
- Strong organizational and multitasking skills, with excellent attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
